MindManager for SharePoint Released

Perhaps you noticed that a popular desktop program just acquired rich SharePoint connectivity. Since its released I can finally tell you a little about it.

We've been working very closely with Mindjet for the last several months enhancing the core MindManager product with the ability to authenticate with SharePoint, discover its site map, acquire data from web parts and even apply simple, relavent queries. The end result is SharePoint items become MindManager topics within your MindManager maps.

We're very excited about this solution for several reasons. First and foremost-- it's built upon TeamDirection technology (yay team!). MindManager uses our TeamDirection Windows Sharepoint Services Communication library (TWSS) so that it can work with both SharePoint 2007 and with SharePoint 2010. This is the same communication library we are building our next versions of IntelliGantt on, which is great because its been well tested.

Second, we think this solution is the perfect example for what makes a desktop application so useful-- the ability to personally aggregate data from multiple sources into a view of your choosing and design. MindManager with the TWSS makes it easy to roll SharePoint data from multiple lists, sites and SharePoint servers into one visually compelling, and comprehensible, map. You could have 5 different browsers open clicking through each site in your browser, or you can have one map showing all the late tasks-- with automatic refresh to keep you absolutely up to date.

If you've been finger wrestling the mouse left-click button with all the different sites, lists and display pages within SharePoint, you should checkout what MindManager for SharePoint offers. It's a great application and your fingers will thank you!

Third, we've agreed that third parties can use the TWSS installed by MindManager for SharePoint to do their own SharePoint operations.

And fourth, it's just plain cool to see your technology in use for a product with a user-base in the millions and growing.

Overall, its been a great experience that we at TeamDirection would absolutely do again. In fact, if you have a product that you think would benefit from tight SharePoint integration, TeamDirection has the know-how, the tools and the experience to make it happen.

Looking for Partners in Australia

A bit of a double-entendre, but we are looking for partners in Australia who are smart and enjoy helping people with their projects. Outside of the US, we receive more downloads from Australia than any other nation (though Germany has been on the upswing recently). And while we have excellent European partners and Mindlogik in New Zealand, Australia really does represent a land of opportunity.

If you're a reseller of Microsoft Project and/or Mindjet MindManager products, or if you're looking for straightforward ways to bring collaboration to your customers, give me a shout at j.o.h.n.m [at] teamdirection.com. We would be happy to make your acquaintance and see if we're a match.

And bonus points if you happen to be from Frankston, Victoria. It could very well be a family myth, but apparently Frankston was named after a relative of mine (yes, named Frank) who jumped in to the sea and saved someone who had great influence in naming towns. I'm sure it's a lovely place!

Thanks mate.

Flexible Pricing Model

Consultants have been keenly interested in IntelliGantt project management because it makes it so easy to share tasks with colleagues and customers. Often they would like to leverage a client's SharePoint installation in order to share project schedules and status. Other times they just need a way to keep everyone update to date.

One common feature consultants need is a flexible pricing plan. In truth, this applies to companies that hire consultants as well. What we've heard again and again leads us to believe a project that spans people and companies is most likely an ad-hoc project. As a result, time and again we've heard the purchasing manager ask if they can re-use licenses.

For example, say project A started last January and is just wrapping up. As the project manager starts planning the next project, perhaps he/she will use several consultants or contractors again, and one or two consultants for the first time. What about the consultant they bought a license for back in January? Wouldn't it be nice to re-use that license for the new people?

We think it would too!

Therefore we've implemented time-limited licenses: 3 months, 6 months, 1 year and Unlimited. Now you can purchase a 3 month license for the project starting this month (and outfit everyone very reasonably, I might add). When the project is done, your licenses are done too. If you need another project, buy a few more short-term licenses.

If you have a consistent group through the year, buy a longer term license for them, and a shorter term license of others. You can mix and match licenses just as you can mix and match IntelliGantt, IntelliGantt Plus and the IntelliGantt MS Project Add In.

It's the same product with the same features. Basically you decide how long you want it to run. It's our job to make project management as easy, rich and elegant as possible so IntelliGantt is always your best choice for running a virtual team.

Check out the pricing on our purchase page.

Scoble Interview Published

If you're looking to meet some of the people behind TeamDirection, Robert Scoble provides the chance. Here he is interviewing, of all people, me.

This was a lot of fun to do, and I like how it turned out. My head doesn't even look too shiny.

On a serious note, though, I read on Robert's blog the serious news of the day. I sincerely hope a few bad apples don't spoil what people like Robert bring to the online community. The Scoble show is a great opportunity for companies with cool stuff to spread the word. I, for one, believe he is doing an essential service of connecting consumers and producers. We should be thanking people that put themselves out there like Robert or Kathy Sierra.

They make the world a better place.

Building Intuitive UIs

If you've read any of my posts at ReadWriteWeb, you know I love to look at things with an eye towards the past. So many times a new problem is really an old problem. Like User Interface Design.

I came across this video (Introducing the Book) while reading Scott Maxwell's blog. After I stopped laughing, I began to think about our own UI and how well it performs for our customers-- especially for a 'complex' business segment like project management.

In my opinion, we're doing pretty well. In fact, we recently did a screencast to show a few UI niceties we bring to project management. Little things like telling you whether your tasks are to the left or to the right of your current Gantt view. Or showing you why you can't link two tasks together-- highlighting the path that would create the circular link.

But I don't think we've built the most intuitive UI by any stretch. Project Management does have a certain amount of complexity. Connecting business systems to the web is not trivial. However, if you happen to hear from a customer 'That's all you have to do?', then you know you're on the right path.

And we do listen to our customers.

IntelliGantt Milestones

There's a nifty feature in the new IntelliGantt products that we've seriously under-represented. In fact, I just put up a new screencast that mentions it (Tour Project Features).

If I recall, I believe this feature came as a result of a request from Siemens. Their project managers had grown rather cross with dumb milestones. They had gone through the trouble linking milestones to tasks, but then pointed out the futility of their efforts as these milestones behaved as individual entities.

For example, even if all the predecessor tasks of a milestone were to be incomplete, or even late, a milestone could still be marked complete. This made it rather difficult for project managers to filter large projects such that only milestones would be visible. Actually, it wasn't the filtering that was hard, it was the ambiguity of the milestones themselves-- would you trust a completed milestone not knowing the state of its predecessors?

TeamDirection went about solving this problem, and the solution ships with IntelliGantt today. We made our milestones, er... intelligent. If a milestone has a predecessor, then that milestone reflects the status of its predecessor. If the predecessor isn't complete, then the milestone isn't complete.

In fact, this works on down a chain of predecessors. For instance, if the immediate predecessor of a milestone is on track, but its predecessor is behind, then the milestone will be behind. A milestone is only shown as completed if all its predecessors are completed! This lets project managers (or other interested parties) filtering on just milestones get a more accurate read on areas of the project that may have problems.

Displaying accurate information and identifying potential issues as soon as possible gives you more time to communicate issues and make corrections-- both of which help your projects succeed.

TeamDirection has a 15 day free trial so you can try out some intelligent milestones today.

SharePoint/Project Use Case

As we've been enriching our integration with SharePoint and Groove, a use case is coming up that is neither wrong nor right-- it's just expectations.

Currently in IntelliGantt Plus, if you publish a project to a SharePoint workspace, IntelliGantt will be selective in how it updates. For instance, if a GUEST logs into the workspace, obviously SharePoint will not allow them to edit tasks. But what about a contributor?

We've designed things such that, if you are a contributor in SharePoint, you must be assigned to a task in order to update it. We can't tell SharePoint to disable those fields as if you were a guest. Rather, when IntelliGantt Plus synchronizes with the SharePoint task list, it examines who made the change to the updated task.

If you are not a manager, not a guest, but in fact a contributor, then IntelliGantt checks for task assignment. If the contributor is not assigned to the task, the updates will be tossed and IntelliGantt will reinsert its view of the task. If the contributor is assigned to the task, then the changes are reflected in the IntelliGantt project.

This works well for the project manager monitoring the project. They don't want to let just *anybody* update tasks. However, what if team members wish for a less restrictive approach. For example, maybe there are no task assignments. Everybody has the ability to change any task. This is in fact how our Internet Workgroup works, but with SharePoint we wanted to make use of permissions.

Perhaps we need a less restrictive mode? In talking with project managers, no-one wants to give up our current assignment enforcement. However, we do look to be inclusive-- and if some people would like to have more of a 'free-for-all', we are listening.

Fun With Blog Statistics -- Who is Using What

We make project management software. And while we would like to do it for every platform, right now our IntelliGantt suite runs only with .NET on Windows platforms, or really good Windows virtualization platforms.

However, anyone can certainly come and look at TeamDirection's wares. And it's interesting to see who does. For example, according to our logs we recently had an XBox come check out the site. Just one so far, but you never know what might be a latent market.

For instance, Microsoft will cringe to hear that Sony has an 1,100% advantage with the number of PlayStation portables visiting TeamDireciton with a full 11 gamers checking out project management software. Maybe they like the simplicity in sharing tasks.

Mac OS makes a surprisingly strong showing, with 12.6% of our traffic. I believe this is because of our rich SharePoint integration. This lets a project manager running Windows use IntelliGantt software, and when they share tasks to SharePoint, Mac users in turn can participate via their browser. Although with a number of 12.6%, a Mac platform has piqued my interest.

Linux makes a showing, but only for 5% of our traffic. Of course, they get the same benefits as make users as Firefox browsers on Linux work just fine for interacting with Microsoft SharePoint. Linux users too can update their assigned tasks.

Finally, for the odds and ends we have the following:

IBM OS/2 12 viewers
Be OS 8
Symbian OS 1

and finally...

Windows 3.x 37 viewers

What are you people doing on Windows 3.x?

The Week Ahead

With all due respect to Frank Sinatra, it's time to start spreading the news.

TeamDirection will be notifying all its customers this week of our new IntelliGantt line of products. The MS Project Add-In is already receiving quite a bit of interest. I think the Internet Workgroup will capture interest as well, provided we explain and present it well.

Which will be my task. I'm looking at creating several screencasts this week. If a picture says a thousand words, then a screencast conveys a user manual!

The IntelliGantt screencasts will be here. The MS Project Add-In screenshots will be here.

And one packaging note: We have decided to bundle the MS Project Add-In with IntelliGantt plus. For $549, this is an insane deal. You get an Add-In for MS Project, you get IntelliGantt Plus which has even more functionality (synchronizing with MS Project summary tasks) AND you get MindManager synchronization.

Your project manager will thank you!

Shhh TeamDirection Doing a Soft Launch

Until next week.

We're still putting the spit and polish on a couple things before let everyone know what's up. But if you're interested, you can get the following before anybody else:

1) IntelliGantt -- Our rebranded Project Management solution that incorporates Amazon's S3 storage services. Now sharing projects with anyone in the world takes about three clicks.

2) IntelliGantt Plus -- Everything that IntelliGantt does, PLUS the ability to tightly integrate with business apps (MS Project and Mindjet MindManager) and collaboration platforms (SharePoint Services 2003 & 2007 and Groove 2007).

3) IntelliGantt MS Project Add-In -- Give the power of sharing tasks to MS Project Standard and Professional without having to buy Project Server-- for less than the price of upgrading MS Project Standard to Professional.

And we have a spiffy new website too.

We've done project management for Groove Networks for many years, but now we're branching out to bigger platforms (SharePoint) and bigger ideas (our 'Internet Workgroup', which uses Amazon S3 to share worldwide).

But don't tell anyone quite yet :)

Interviewed by Robert Scoble Today

That was fun. Of course, Robert didn't bring a makeup person, so there's an excellent chance my bald pate will be gleaming throughout the video. Hopefully the post-production can take care of that!

Don't hold your breath for the video, unless you can hold it for 3 months or so. It's always cool when people recognize you for doing something interesting. Judging by the response we've seen for the IntelliGantt Add In, he's in good company.

The other thing I learned from Robert today is just how many software developers are catching on to Amazon's S3 cloud. I'm actually working on a post for ReadWriteWeb right now covering this very topic, and I better finish it quick before its out of date!

How is TeamDirection using Amazon S3 services? That's the 'Internet Workgroup' option you see in our demo when sharing a project. You don't *need* to know its Amazon on the backend, but just in case you were wondering about scalability and reliablity... now you know.

What does it mean? It means sharing tasks with the person down the hall or a consultant in London is a one-click operation. We'll be releasing it next week, so you'll be able to see for yourself.

Back to work on my punditry, and the new website...

The Add In that Tied MS Project, SharePoint and Groove Together

[October 2008 Update - New, Improved BETA Available!]

Deep in the TeamDirection labs a new product is taking shape. It's goal, unify Microsoft Collaboration with an out of the box solution.

Here's how it will work:

TeamDirection's IntelliGantt Add In will add an extra set of menu options for Microsoft Project Standard or Professional.

This intelligent feature will let you share your tasks to a SharePoint 2003 or 2007 system, or to a Groove 2007 system. Right out of the box. No installation on the SharePoint server is required. No installation for Internet Explorer required. Your team members can use out of the box Microsoft tools to view their tasks and update them.

For instance, here's a standard SharePoint workspace with tasks published from MS Project:

And here is what that same task list might look like after your team members reported their progress:

Finally, at the project manager's discretion, the tasks are synchronized back with the original project. Afterwards, MS Project reflects the state of the project, as updated by users via their SharePoint workspace:

It's all in a day's work!

[UPDATE -- It's Available! Check out a few of the demos and give it a 15-day free trial today.]

Polling Our Audience

If you've been to our home page recently, you probably noticed our poll. If you didn't notice our poll, then you must have been talking on your cell phone and driving 'cause its pretty hard to miss. But just in case:

Take Our Poll

I thought it would be both fun and useful to see what customers and potential customers have to say with respect to projects currently underway in house. What I'm quite pleased about is the top two poll answers are the two projects closest to completion. How's that for marketing serendipity!

There should be a demo of the MS Project Add In next week, which is good timing as we are going over to Microsoft next week to talk to the project group. I'm hoping for general availability in the third week of January with a price point of $199.

The Basecamp integration is going well, but since its a bit more complicated, look for a demo by the end of the month with general availability in February.

I also noticed the MindManager Add In is quite popular, so we probably shouldn't wait too long for that. In fact, it's possible it may pass Basecamp integration as the second most requested feature.

Unless the Basecamp audience has something to day about that :)

Here's to an exciting 2007!

Update Release Shortly

We're going through testing right now preparing a release addressing bugs and some new features.

Thanks for your feedback!

It means so much to us as we make TeamDirection Project a world class product. Speaking of world class, we're getting so much interest from Russia that there could be a Russian version coming soon! And yes, we do have plans for other languages too. French and German will most likely be next.

I would also very much like to do a Japanese version. In fact, if you're a reseller in Japan and are able to help us with translation, please contact me.

Back to the bug fixes and features...

Bug fixes:

1) TeamDirection wasn't handling some of the add-on business templates for SharePoint from Microsoft very well, so we've improved this.

2) We had an issue with imported custom resources causing problems with SharePoint synchronization. This has been fixed.

3) We had an issue with vacation days in MS Project files. This has been fixed.

Enhancements:

1) One user requested that we NOT publish summary tasks to SharePoint since it can add many more tasks to the list. We heard him and we agreed. There is now a checkbox when you publish tasks asking if you want to publish summary tasks too. The default is not to publish summary tasks.

Why would you want to publish summary tasks? We've seen projects that are mini-workflows where the tasks is a repetitive function and the summary task gives it context. For instance, the summary task might be 'Update Website' and the subtask is 'Copy Files'. Then the next summary task is 'Update Internal Server' and the subtask is 'Copy Files'. That kind of thing.

2) Presence information is now in the resources lists. This aligns better with our philosophy of turning resources back into real people. As such, you can see when real people are online.

We should have this update on our website early next week. Again, thanks for the feedback! We're happy to respond, both in writing and in product.

And we should have a nifty 'sneak preview' of something else we're working on soon. What is it? Get ready to head to BaseCamp :)

TeamDirection a Mindjet Partner

It's always exciting when you meet someone new. I can't speak for Mindjet, but I'm exicited!

We just became a bona fide partner today. If you haven't seen our nifty MindManager demo, check it out. If you want more information on our integration, go here.

There's a full benefits/features list available on the integration page, but the one I think is most important is now MindManager can be involved in your projects from beginning to end-- TeamDirection keeps it in the loop!

This means people who like their maps can keep them. Conceptualize your project with MindManager, let TeamDirection know about it and TeamDirection will keep that original map updated! If its on a network, then everyone can see the project execute from the comfort of their maps.

Its one way we are providing the right tools for the right people. Task information is more mobile than ever now!

Comparing Project Server and TeamDirection Project 2007

And this would be elephant number two in the room. While I could blithely write how we do this and how project server does that and we both do the online web-based project thing in perfect harmony....

I would be lying.

OK, I admit it. TeamDirection Plus 2007 is providing a nice, simple way to connect your MS Project projects to MS SharePoint. Project Server does it by requiring several components, lots of consulting time and training. We do it by selling TeamDirection Project Plus 2007 for $549.

For that price you get:

  1. A desktop app your project manager can install and start sharing tasks in 5 minutes or less.
  2. A flexible bidirectional synchronization that updates data from MS Project to SharePoint, and from SharePoint to MS Project with one click.
  3. The ability to not only share entire projects, but parts of a project. Have a project with 1,000 tasks but only want to share 100 of them? We can do that.
  4. Rich integration with a great project conceptualization-- Mindjet MindManager-- and a cutting edge collaboration tool-- MS Groove 2007.
  5. Multiple project view letting you see many projects at once in a grid and gantt. And foldering to let your organize your projects.
  6. A nice UI, integrated Instant Messaging, Resource that can not only be assigned to tasks but also inherit their permissions from SharePoint or Groove, simple costing and more...

Normally I wouldn't point out in my blog where we compete with Microsoft-- I am in Seattle after all. But really, there's lots of companies that both compete and partner with them. We are no different. For instance, as I mentioned, we also talk to MS Groove 2007-- one of the first companies to do so. We've leveraged our rich history with Groove and its Project Edition and created an excellent solution for the next generation.

In fact, I can make a claim: TeamDirection Project 2007 is the only project application in the world that lets you share MS Project plans with SharePoint and Groove. Hopefully that makes the SharePoint and Groove groups at Microsoft happy. I even think it will make members of the Project team happy because it gives smaller companies-- and departments within large companies-- more flexibility and power for project managers to use the richness of MS Project and the distribution of SharePoint and Groove.

And if they see a grumpy member from the Project Server team, tell him or her its ok to share.

Comparing MS Project and TeamDirection Project

Now that we've released TeamDirection Project, it's time to answer the elephant in the room: How does TeamDirection Project compare to Microsoft Project?

Well, we do pair a task grid on the left with a gantt chart on the right. And I personally think TeamDirection Project is much prettier. But really, our focus is on the small to medium business, 5 - 50 employees, that would like an easy way to structure, schedule and share projects in a team environment.

When you don't have limitless resources, you need the right tool for the job. You can't give everyone a scalpel and expect surgery to be successful. You don't give everyone the tiller and expect docking to be smooth. Any non-trivial project requires a group of people to interact, do their part and communicate their issues as efficiently as possible.

That's what TeamDirection brings.

Microsoft Project is a great product. You can plan canals, nuclear reactors and hospitals with it. You have an array of tools at your disposal: resource pools, 10 or more working shifts per day, PERT and WBS structures, critical path analysis and a gazillion more features a skilled project manager wants, and might even need.

We think that's great. But the ability to level resources, find critical paths and adjust level of effort is lost on the person who is just making an image for the website. They only need to report when they're done, attach the image for people to see and comment how it synthesizes Bauhaus post-modernism and consumer durable gooods.

TeamDirection bridges these two worlds. It lets the project manager have all the power, and it lets the team members execute their tasks, see and connect with their team members online to resolve issues and report progress.

One product can't make everyone happy. But one product can bridge the divide between planning and execution, allow users the tools that fit their needs and focus on sharing information-- among the team, and with just a little bit of direction.

TeamDirection.

TeamDirection Project 2007 Released

How about that!

A simple, elegant, intuitive, IntelliGantt(!) project tool that makes it easy for project managers to connect with their teams, easy for teams to execute projects and easy for MS Project and MindManager to work with SharePoint and Groove.

I've been wearing a marketing hat for a while, but now I get to try on a sales hat. No its not tall and pointy :) It's only uncomfortable because I don't consider myself a salesman.

But, being an owner of TeamDirection means I want to know how everything is working, from developmet through marketing and ultimately sales. And I will do my best to make sure everything is coming together for our customers.

What this means for you, aside from great project management software, is you might just get a call from me some day. For the first few recipients, I apologize in advance for my stuttering and stammering-- I'll eventually sound smooth and polished on the phone.

But know also I won't be just talking, I'll be listening too. And the things you have to say have a great chance of making their way into our product.
